VIP Event Producer/Project Manager
  • $274 per hour (minimum of 5, inclusive of all expenses).
  • Expenses Covered:
    • Travel: Petrol, parking, and necessary travel expenses.
    • Meetings: Costs related to client and vendor meetings (e.g., coffee, snacks, printing).
    • Miscellaneous: Venue visits, materials, communication costs, and any other event-related expenses.

Roles and Responsibilities

Guest List and Invitations
  • Guest Management: Oversee the management of guest lists, including the design, sending, and tracking of invitations.
  • RSVP Coordination: Handle RSVPs efficiently, addressing any guest inquiries and special requests.
  • Seating Arrangements: Organize seating plans with attention to detail, ensuring all guests are comfortably accommodated.
Logistics and Event Timeline
  • Timeline Development: Create a comprehensive event timeline, detailing every phase from setup to teardown.
  • Logistics Coordination: Manage all logistical elements, including transportation, accommodations, and on-site staffing.
  • Execution Oversight: Ensure smooth execution on the day of the event, coordinating every detail with precision.

Red Carpet and VIP Management
  • Red Carpet Coordination: Plan and manage the red carpet experience, including media coordination and VIP arrivals.
  • Public Relations: Work closely with PR teams to manage press coverage and media relations.
  • VIP Experience: Ensure VIP guests receive the highest level of attention and service throughout the event.
Event Execution
  • On-Site Management: Be present during the event to oversee all activities, ensuring that everything runs smoothly.
  • Troubleshooting: Quickly address and resolve any issues that arise during the event to maintain a flawless experience.
  • Schedule Maintenance: Collaborate with staff and vendors to keep the event on schedule and ensure top-quality service delivery.
Event Vision and Conceptualization
  • Crafting the Vision: Develop an overarching theme and vision that aligns with the client’s goals and desired atmosphere.
  • Proposal Development: Create detailed event proposals, complete with concept designs, mood boards, and venue suggestions that encapsulate the client’s vision.
Budget Management
  • Collaborative Budgeting: Partner with the client to establish a realistic event budget.
  • Expense Tracking: Monitor and manage expenses meticulously to ensure adherence to the allocated budget.
  • Financial Transparency: Provide regular budget updates, ensuring the client is fully informed throughout the process.
Venue Selection and Coordination
  • Venue Research: Identify and recommend venues that perfectly align with the event’s theme and scale.
  • Contract Negotiation: Negotiate favorable terms with venues, ensuring all logistical and contractual needs are met.
  • Site Coordination: Arrange and conduct site visits, finalizing all venue-related details for a seamless event experience.
Vendor Management
  • Sourcing Excellence: Identify and engage top-tier vendors for catering, decor, entertainment, and other essential services.
  • Contract & Relationship Management: Secure contracts with vendors, maintaining strong relationships to ensure flawless execution.
